AI workflow evaluation checklist
For recruitment agencies · FluxHire.AI · Version 1.0 · 13 October 2026
Use this checklist to evaluate one defined workflow before adopting or expanding a tool. If AI prepares recruitment work, identify who reviews its output and who approves the relevant actions. Assess demonstrated behaviour, your agency’s requirements and the available evidence. A product brochure or a completed checklist is not a legal certification.

For each question below, record Verified, Open, Not met or Not applicable. Attach evidence, nominate an owner and record the next action. Explain any Not applicable answer. An unanswered question stays Open. Do not convert these responses into a score that hides an unresolved prerequisite.
1. Workflow fit
- What event starts the workflow, and what observable outcome ends it?
- Which existing agency steps will it support, and which remain with the team?
- Does it handle the agency’s actual roles, approval responsibilities and exceptions?
- Can a consultant correct the prepared work, decline it and continue through the existing process?
- Which steps are available now, and which depend on a roadmap or a separate service?
- What would cause the agency to stop using this workflow?
2. Data handling and access
- What exact information enters the workflow, from which authorised source, and for what purpose?
- Who can view, export or change each record, including private notes and restricted fields?
- Which providers process the data, where is it processed, and what current documentation supports that answer?
- What are the retention, deletion, export and account-closure arrangements?
- Does the provider use supplied information for model training, and what contractual or configurable controls apply?
- Can the agency exclude unnecessary sensitive information and revoke access?
